Department detail is a worktag that tracks transactions at a more granular level than driver worktags.

Department detail is used in various ways across campus to assist in tracking funds either more generally or to meet unique needs an area has for internal and/or external reporting. Department details are assigned as a specific subtype that signifies if the Department detail is one that can be used generally or if it is to be used for a unit’s unique reporting purposes (AES or Athletics).

Department detail is required on all transactions for AES and Athletics. It is not required on other transactions. General use department detail worktags are available for anyone at the university to use.

AES department detail requires a start and end date.

Examples of DD subtypes: General Use, AES, Athletics, and Student Course Fees.

  • Department detail can be used in tandem with grant, gift, project, or program driver worktags to further define reporting details required at the department level, but they are not assigned to driver worktags by default.
  • All AES department details require a default accession number worktag.
  • All Athletics Department Details require a default field number worktag.

Department details follow these naming conventions:

  • Department detail ID codes begin with the prefix DD followed by five numeric digits (DD86420).
  • The department detail ID code must be included with the department detail name.
  • Department details must be assigned an appropriate subtype. DD subtypes available are:
    • AES
    • Athletics
    • Bonds
    • CPM
    • Delivery Fee
    • General Use
    • Product
    • Student Course Fee
    • WOI Radio

Department details are assigned to one of the hierarchies listed below.

Anyone can request a new department detail by submitting a New Department Detail request through Workday. Visit the FDM Workday Requests and Updates page for more information on this process. Your request is routed to the Workday Finance Data Governance Operational Committee, which maintains review and approval authority over requests for department detail creation and maintenance. If you are requesting an AES or Athletics department detail, the appropriate unit will also review and approve your request.

If you are requesting more than one department detail, attach an Excel sheet with the names and subtypes for the department detail codes you are requesting.

Note: Before you request a new department detail, review the ISU List of Department Detail Reference IDs report to check whether a department detail may already exist to suit your needs.

  • ISU List of Department Detail Reference IDs - This report returns all department detail codes, their reference IDs, and associated accession number, if applicable. Optionally, you may select one or more DD subtypes to narrow your search results.
  • ISU Athletics Department Detail and Hierarchies - This report shows all department detail codes currently in use by Athletics. It also includes the department detail hierarchy to which each DD is assigned.
  • ISU Commitments and Obligations by Department Detail - This report returns the net actuals, obligations, and commitments sorted by department detail for the given search criteria. You are required to select the accounting period and time period (current period, last 12 periods, current period YTD, etc.)
  • ISU Related Worktags for Department Detail - This report returns all department detail codes and displays each DD's associated driver and related worktags. Optionally, you may select one or more department detail codes, worktags, or DD subtypes to further narrow your search results.

  • AES Department Detail subtypes: Janet Brodie, Budget and Finance Specialist, College of Agriculture and Life Science
  • Student Course Fees and Delivery Fees Department Detail subtypes: Patrick Hoffelmeyer, Business Systems Analyst, Treasury Accounts Receivable Technology
