An accession number is a unique number assigned to programs and projects to support USDA-NIFA reporting.

Iowa Agriculture Home Economics Experiment Station (AES) is currently the only identified user of accession numbers. However, accession numbers could be used by any department that receives USDA funding to support reporting. Unlike Assignees, which are used for other types of funds and expenses, accession numbers are used to identify the faculty or staff member assigned to specific USDA funds. It is not a required field.

Accession numbers are set up as a default related worktag to department detail, so that when an AES department detail is assigned to a transaction or driver worktag, the accession number will auto-populate.

Accession numbers follow these naming conventions:

  • Accession number ID codes begin with the prefix IOW followed by five numeric digits and then seven numeric digits (IOW00463-1021392).

Accession numbers are not assembled into a hierarchy structure.

Any Workday user can request a new Accession Number by submitting a New Accession Number request through Workday. Visit the FDM Workday Requests and Updates page for more information on this process. Your request is routed to AES for review and approval.

  • ISU Experiment Station Projects Report - ISU - USDA and Accession Financial Details - This report shows the financial details for driver worktags and their associated department detail and accession number that meet your search criteria. You are required to select an organization (the report prompt defaults to the AES business unit hierarchy), accounting period, and time period (fiscal YTD, last six months, previous YTD, etc.)
  • View Custom Organization - Accession numbers are a type of custom organization in Workday. Use this report to view details on any custom organization. When prompted, enter the custom organization. You can filter the organizations by selecting All Custom Organizations by Type, and then selecting Accession Number.
